Build a reliable knowledge base for an AI receptionist

Use a practical policy-entry template to keep AI receptionist answers current, consistent and limited to approved administrative information.

A knowledge-maintenance cycle moves from current policy to an inspectable entry, owner approval, an approved answer source, retrieval tests and a dated review trigger.
Workflow · reduced motion

Original knowledge-base maintenance cycle. Staff approve policy and handle missing facts; published knowledge is separate from appointment or account-action permissions.

An AI receptionist needs a maintained collection of approved answers, with a clear rule for questions the practice has not resolved. Uploading every document you can find is a poor starting point. Build a small knowledge base around the administrative questions staff already answer, then give each answer an owner, a source and an expiration or review date.

For a therapy practice, the first entries might cover opening hours, appointment requests, directions, accessible entrances, payment methods and how to reach staff. Clinical advice, individual coverage decisions and patient records belong outside this public answer collection.

Use a policy entry staff can inspect

Create one entry for each decision a caller needs to make. The following worksheet is a proposed editorial process, not a representation of a specific software screen.

Field What to record
Question The caller's likely wording
Approved answer A short answer in everyday language
Applies to Location, service and audience
Source The current policy or responsible manager
Effective date When the answer becomes true
Review trigger Scheduled review or a known future change
Exception What requires staff confirmation
Owner The person who approves corrections

Add a prohibited inference when a fact is easy to overextend. “We submit claims to these insurers” must not become “Your session will be covered.” The source may support the first statement while leaving the second dependent on individual circumstances.

Resolve contradictions before the AI sees them

Compare the website, recorded greeting, staff guide and booking page. If they disagree, do not ask the AI to choose the newest-looking paragraph. Have the policy owner resolve the conflict, then remove or clearly retire the obsolete source.

Keep a short change history that says what changed and who approved it. A file called “final-final-v3” is not enough evidence that a cancellation policy supersedes another document. Staff should be able to identify the current answer without reading the entire archive.

Avoid combining location facts in a broad paragraph. A parking instruction for one office should not be given to callers visiting another. A location-specific entry can say which site it covers and direct other callers to the appropriate information.

A hypothetical entry for an initial consultation

Suppose a fictional counseling practice offers a brief introductory call, but only staff can confirm whether a requested clinician is accepting new clients. Its approved answer could say: “You can request an introductory call. Our team will confirm clinician availability and the next step.”

The exception field says that the receptionist must not promise a clinical match, coverage or a confirmed appointment from this answer alone. The owner is the practice administrator. If the practice changes the consultation process, that administrator updates the entry and the associated booking instructions together.

This produces a useful answer even when the system cannot complete a booking. It describes the next step honestly instead of filling missing policy with a confident guess.

Test retrieval, not just document upload

Ask the same question in different ways: “Are you open Friday?”, “Can I visit after work?” and “Is somebody at the office tonight?” Check whether answers distinguish office access, clinician appointment availability and telephone coverage.

Then test a missing fact and a contradictory premise. For example, ask about a nonexistent location or say that a previous employee promised a service the practice does not offer. Record the expected staff referral and the actual response. The administrative accuracy review explains how to track these cases without real patient information.

A general external reference for organizing AI oversight is the NIST AI Risk Management Framework. The worksheet here is our practical proposal, not a NIST certification or an assurance of answer accuracy.

Keep the knowledge and action permissions separate

Knowing a cancellation rule does not automatically authorize software to cancel an appointment or waive a charge. Review the answer source and the permitted action independently. CallSphere Health's AI receptionist uses configured practice knowledge for administrative questions; booking and patient-specific actions have additional boundaries described in capabilities.

Before a demo, bring three current policies and one unresolved exception. Ask to see the accepted answer, the source update and the staff fallback. Continue with channel-wide hours updates or browse AI reception and communication guides.
