Software selection for U.S. practice owners

Compare mental health EHRs by the work your practice needs done.

Look at the complete path from an inquiry to a scheduled visit, reviewed intake, patient communication, and staff follow-up. Established EHRs already offer administrative tools and AI features. The useful question is which specific workflows fit your practice.

Research checked September 9, 2026. This vendor-authored resource uses current public documentation; it is not an independent hands-on review of competitor accounts. Plans and capabilities can change.

Where CallSphere Health fits

CallSphere Health combines an EHR and practice management with AI front-desk tools for routine phone and website inquiries, configured availability checks, appointment actions, and callback requests. Your team maintains practice information, confirms fit, handles exceptions, and reviews clinical and billing work.

Workflows depend on the AI add-on, practice settings, identity checks, and connected services. A callback request is not a verified warm transfer. Automatic matching to the right clinician and a seamless AI-call-to-completed-intake sequence should be demonstrated for your setup before you rely on them.

Understand the published options

SimplePractice

Its published platform includes online appointment requests, intake, telehealth, billing, and plan-dependent team and communication tools. Note Taker is an optional AI add-on.

Include it when its documented portal, documentation, billing, and team workflows meet your priorities. Check the plan required for your staff roles and website workflow.

Ask in a demo

Does the inquiry produce an appointment request for staff to accept, or a confirmed booking? What happens to the intake work afterward?

Jane

Jane publishes online booking, intake, charting, communication, payments, and an optional AI Scribe. Its waitlist notifications can be automatic or manual on supported plans.

Include it when a multidisciplinary clinic needs the documented booking, room/equipment, or patient engagement functions. Verify the specific U.S. plan and workflow.

Ask in a demo

How does a cancelled opening reach eligible waitlist clients, and what must the client do to claim it? How are group appointments handled?

TherapyNotes

TherapyNotes documents behavioral-health scheduling, notes, billing, and reminders. Its optional TherapyFuel tools include AI note drafts and other documentation assistance.

Include it when its published therapy documentation and billing workflows match how your practice works. Test the roles, reminders, and portal tasks your staff perform.

The sources reviewed did not establish whether each competitor offers native conversational inbound AI calling. We label that unverified; we do not infer that the feature does not exist. For Jane’s waitlist plan and group/class limitations, see its official setup guide.

Use four evidence states in your comparison

Included
The exact workflow is documented for the plan you are considering. Confirm its settings and limits.
Add-on
An additional subscription, seat, usage fee, or service is required. Include it in your quote.
Integration
Another system performs part of the work. Verify data exchange, ownership, and failure handling.
Unverified
The available evidence does not answer the question. Ask for documentation or a synthetic demonstration.

Run the same synthetic workflow with every vendor

  1. Ask a routine practice question, then request an appointment with a fictional adult.
  2. Confirm the appointment status, provider, time zone, and what still needs staff approval.
  3. Inspect the intake task and communication record rather than assuming they were created.
  4. Test a schedule conflict and an unanswered staff handoff using provider effects disabled.
  5. Review costs, data export, staff access, and the evidence supporting security claims.

Keep clinical decisions with qualified staff. Use fictional details and a vendor-approved test environment; do not send real messages, bookings, claims, or payments during a purchasing test.
